A commercial window-cleaning job starts before anyone fills a bucket. A clear plan helps a building manager and cleaning team agree on which glass is included, how access will work, when the work can happen and what counts as a finished result. It also helps identify risks early, when they are easier to manage.
This guide is for planning a window-cleaning project at an office, hotel, shop or other commercial site. It does not replace a competent safety assessment. Work above ground level, use of suspended equipment and access to restricted areas belong with trained people using approved equipment and site procedures.
Define the scope room by room
Start with a walk-through and make an inventory of the glass. Include interior and exterior panes, partitions, doors, skylights, atriums, frames and window sills only where they are part of the agreed work. Note areas that are not accessible or require a specialist. Mark the floors or elevations on a simple plan so the client and contractor are using the same description.
Record how many sides need cleaning, whether the glass is tinted or coated, and whether there are films, decals or sensitive finishes. A pane with a coating, old sealant or a previous scratch may need a different method. If the surface is unfamiliar, identify it with the building manager before testing a product or tool.
Agree on exclusions. A normal glass-cleaning visit may not include removing paint, cement, stickers, hard-water scale or construction debris. These can require separate products, specialist tools or a different risk assessment. State how the contractor should report a pane that is cracked, loose or already damaged.
Choose access based on risk and reach
Ground-level glass may be reached with hand tools or a water-fed pole from a safe working area. Higher windows may call for access equipment, a building system or another specialist method. The choice depends on the building, ground conditions, height, weather, pedestrian routes and the competence of the workers. A sales estimate is not a substitute for a site assessment.
Ask the provider to explain how each elevation will be reached and what controls will protect workers, occupants and passers-by. For high-level work, confirm the provider has trained personnel, suitable inspected equipment, a rescue plan and a way to secure the work zone. Do not ask staff to lean out of windows, climb on furniture or improvise a platform to reach glass.
Tell tenants and security staff which doors, balconies or windows must stay closed during the job. Agree on how contractors will enter restricted areas and who will supervise them. If work is delayed by a faulty anchor, missing access key or unsafe surface, the crew should stop and report the issue rather than find an unapproved workaround.
Plan timing, weather and site movement
Choose a time that gives the crew room to work without blocking customer queues, deliveries or emergency routes. A shopfront may be easiest before opening; an office tower may need staged access floor by floor. Share the schedule with reception, security, facilities and any tenant who needs to move vehicles or clear a balcony.
Weather affects both quality and safety. Wind, rain, lightning, intense sun and temperature can change whether a method is suitable. Agree who makes the stop-work decision and how the contractor will communicate a delay. Avoid promising a fixed finish time when access and weather can change during the day.
Protect planted areas, electrical equipment, signs and nearby finishes from water or cleaning solution. Identify water points, drainage routes and places where runoff must not flow. Make sure hoses and cables are managed so they do not create trip hazards across public walkways.
Agree on products and glass care
Ask the contractor what products and tools will be used, and check that they suit the glass, frames and adjacent materials. Keep products in labelled containers and follow their instructions for dilution, protective equipment and disposal. Never mix cleaning chemicals. Where runoff could reach a garden, storm drain or waterway, agree on a method that limits unnecessary discharge.
Some glass needs only a mild detergent and clean water; other marks need a product intended for that surface. Abrasive pads, blades and aggressive chemicals can scratch glass or damage coatings when used incorrectly. Do not approve scraping or restoration work without identifying the glass and agreeing on the method.
Make the quote comparable
Ask each provider to price the same scope and access method. The quote should say what is included, which panes are excluded, how often the work is planned, whether frames or sills are included, and how weather delays are handled. Clarify whether equipment, travel, water, traffic management and after-hours work are included or charged separately.
For ongoing service, agree on a visit schedule and the process for extra work. Ask for references or examples of comparable sites, confirmation of insurance and safety documentation appropriate to the job, and a named contact for site issues. A low price is difficult to compare if the provider has omitted high-level glass or the required barriers.
Our earlier article on building a reliable cleaning service explains how clear scope and follow-through support a service relationship. The guide to measuring cleaning quality with site checks offers a simple way to define visible results. Both posts are scheduled before this one.
Set a practical quality check
Before work begins, agree on how the finished glass will be checked. Choose representative panes and inspect them in normal light from a consistent distance. List observable issues such as missed edges, remaining soil, streaks or water marks. Avoid judging one pane in direct glare while comparing another in shade.
Document pre-existing scratches, cracked panes and frame damage so they are not confused with new damage. If a defect appears, note the location and take a photo through the building’s approved process. Decide who can approve a return visit and how quickly the contractor should address a missed area.
Close the project with a handover
At completion, walk the agreed route with the provider or site contact. Confirm the specified glass is clean, access equipment and barriers have been removed, water points are left tidy and any defects or inaccessible panes are recorded. Share a short handover with reception and facilities so they know the work is complete and any follow-up remains open.
A well-planned window-cleaning project is clear about scope, access, timing, surface care and checks. The right contractor can then focus on doing the work safely and consistently, while the building team knows what to expect and how to judge the result.
